This privacy notice explains how AIVI Intelligence Oy processes personal data relating to website users, people who contact us, and prospective and current clients.

2. Personal data processed
We may process a contact person's name, email address, company name, job title and information included in an enquiry. In client and contractual relationships, we may also process information required for service delivery, communication, invoicing and contract administration.
When the website is used, technical information may be processed, including browser and device type, page views, sessions, traffic source, approximate location, interactions on the website, logs required for security, and consent and preference information relating to analytics and language selection.
3. Purposes of processing
Personal data is processed to respond to enquiries, prepare quotations and contracts, deliver services, manage client relationships, invoice clients, comply with legal obligations, and maintain the functionality and security of the website.
With the user's consent, Google Analytics 4 data is processed to understand website usage, improve content and assess whether visits to the website lead to enquiries.
4. Legal bases for processing
Processing enquiries and quotations may be necessary to take steps at the request of the data subject before entering into a contract. Client and contract data is processed on the basis of a contract and, where applicable, a legal obligation. Business communications, service development and website security may be based on AIVI's legitimate interests. Google Analytics processing is based on the user's consent, which may be withdrawn at any time.
5. Sources of personal data
Personal data is mainly obtained directly from the data subject by email, telephone, in meetings, when entering into an agreement or when using the website. Basic information relating to business clients may also be obtained from public company sources when justified for communication or client relationship management.
6. Recipients and service providers
Personal data may be processed on AIVI's behalf by service providers required for website hosting, email, information security, client relationship management, invoicing or analytics. Service providers process data under applicable agreements and data protection obligations.
With the user's consent, the website uses Google Analytics 4, provided by Google Ireland Limited. The website does not currently use Google Analytics for targeted advertising.
7. Transfers outside the EU and EEA
Some service providers may process information outside the EU or EEA. Such transfers take place only where a transfer mechanism and appropriate safeguards required by applicable data protection law are in place, such as the European Commission's standard contractual clauses or an applicable data privacy framework. 8. Retention
Enquiries and requests for quotations are retained for as long as necessary to deal with the matter, manage appropriate follow-up or handle legal claims. Client and contractual data is retained for the duration of the relationship and afterwards for the period required by law, accounting obligations and potential liabilities.
The retention period for user-level and event-level data in AIVI's Google Analytics property is 14 months. The default expiry of Google Analytics first-party cookies is up to two years. The analytics consent choice and selected language remain in browser local storage until the user changes the choice or deletes the website data from the browser.
9. Rights of the data subject
Subject to applicable law, the data subject has the right to access their personal data, request correction or deletion, request restriction of processing, object to processing based on legitimate interests, and receive data they have provided in a portable format where the right applies. Consent may be withdrawn at any time without affecting the lawfulness of processing carried out before withdrawal. Where personal data is processed for direct marketing, the data subject has the right to object to such processing at any time.
The data subject has the right to lodge a complaint with the competent data protection authority. In Finland, the supervisory authority is the Office of the Data Protection Ombudsman.
10. Whether providing data is necessary
Browsing the website does not require the user to provide contact details. If a user contacts AIVI, responding to the enquiry requires at least such contact details as are necessary for AIVI to reply. In a client or contractual relationship, some information may be necessary to enter into a contract, deliver the service, invoice the client or comply with legal obligations. If required information is not provided, AIVI may be unable to process the request, enter into a contract or deliver the service.
11. Automated decision-making
AIVI does not make decisions concerning website users that produce legal or similarly significant effects solely through automated processing.
12. Information security
Personal data is protected through appropriate technical and organisational measures. Access is restricted to people whose duties require the processing of the information.
13. Changes and contact
This notice may be updated when services, processing practices or legislation change. Data protection requests and questions may be sent to info@aiviintel.fi.
